Wedding Insurance 101
Though you might not
want to think about it, disasters can happen on your wedding
day. Wedding insurance can protect you against these
disasters, and give you peace of mind. From a sudden
cancellation to stolen gifts to a damaged gown, wedding
insurance can be a huge comfort, especially for an event
into which you are pouring so much money. But what exactly
is wedding insurance -- and how does it work?
Here's the inside
scoop.
WHAT IS IT?
Basically, wedding
insurance protects a couple's investment from circumstances
beyond their control, and reimburses expenses incurred. For
example, what if your limo driver doesn't show up and you
have to book another one the morning of the wedding--for
three times the price? Or what if the groom's custom-made
tuxedo is lost in airport baggage, and he has to buy a new
one the day before the wedding?
What if your reception
space goes out of business a month before the wedding, and
you lose your deposit and have to book another space? These
are the types of big day financial losses that wedding
insurance can help to protect.
WHY GET WEDDING
INSURANCE?
Consider these
scenarios:
* Janet and Dan
spend months planning their winter wedding. But on
wedding day, their reception site is cut off by an ice
storm. With the right wedding insurance policy, the
couple can postpone their wedding and receive every
penny they lost (less the deductible) -- including money
for the invites, cake, catering, attire, and
non-refundable deposits for ceremony musicians, floral
designer, and other vendors.
* A bride's father
is injured in a car accident just before the wedding and
cannot travel. If the couple has to postpone their
wedding, with wedding insurance they could be paid back
their expenses to enable them to have the wedding when
the father recovers.
* Right before the
ceremony, Brittany's gown catches a gust of wind.
Unfortunately, the tulle dances right over to the end of
Uncle Howard's cigar and instantly goes up in flames.
Fortunately, the right insurance policy covers the
replacement of the veil and gown.
WHEN SHOULD YOU GET
IT?
The sooner the better.
Let's say you put a deposit on your reception hall twelve
months prior to your wedding date and then it burns to the
ground six months before the big day. With wedding
insurance, you'll be sure to get your deposit back. But
note: most insurance companies have limitations on how far
in advance you can purchase insurance.
WHAT DOES IT COVER?
A problem with the
site, weather, vendors, key people, sickness or injury, and
military are the top concerns come wedding day. There is
usually a specified maximum amount, which can be claimed
under each section, and a deductible amount also applies. Be
sure to find out the details of your insurance plan.
Site:
Check to see if your ceremony and reception site is already
insured. If it's
not, wedding insurance can cover the
cost arising out of unavoidable cancellation (such as damage
or inaccessibility to the ceremony site). Or if your
reception hall is unable to honor your reservation -- it has
burned in a fire, experienced an electrical outage, or just
plain closed down -- your wedding insurance will cover this
loss. Sometimes this policy can cover the rehearsal dinner
site, too.
Weather: Any weather conditions which prevent the bride,
groom, any relative
whose presence at the wedding is
essential, or the majority of the guests from reaching the
premises where the wedding is to take place. Insurance
covers rescheduling the wedding and all the details involved
-- such as ceremony flowers, tent rental, and reception
food.
Vendor
No-show: What if the essential wedding people -- the caterer
or the
officiant, for example -- fail to show
up? The wedding insurance policy usually covers cancellation
or postponement of the wedding.
Sickness or Injury: Wedding insurance may also include
sickness or injury to the
bride, groom, or anyone essential to
the wedding.
Military or Job: It's true, military personnel may be
shipped out at a moment's
notice. Wedding insurance can cover
postponement of the wedding due to the bride or groom
suddenly getting called to military duty. This can also
apply to a last minute corporate move -- i.e. the bride's
company suddenly relocates her to another city. Also, in
some cases, cancellation of the wedding due to job loss can
be covered.
ADDITIONAL COVERAGE
Couples can take out
supplemental policies to defend against damages with other
wedding-related items such as photography, videography, and
gifts.
Photography: For photographs, some policies pay to retake
the photographs after
the fact if the photographer fails to
appear or the original negatives are lost, damaged, stolen,
or not properly developed. Some policies will pay to
re-stage the event -- with the principal participants so
that pictures can be retaken. A policy may also pay costs
for rehiring a photographer, buying a new wedding cake, and
new flowers.
Videographer: When a videotape produced by a professional
videographer is
damaged (he or she used faulty
materials for example), a policy usually pays a certain
amount to have either a video montage created, a video
compilation made of the photographs and other wedding
memorabilia, or, if possible, a retaking of the official
video at a restaging.
Gifts:
Whether they're mailed to your home or handed to you on your
wedding
day, valuable items like gifts are
something else you might want to consider insuring. Think
about a party crasher lifting unattended presents from your
reception. Gift coverage pays to repair or replace
non-monetary gifts that are lost, stolen, or damaged. A
police report is usually required for stolen gifts. The
damage or theft generally has to take place within a limited
time period (ranging from 24 hours to seven days depending
on the specific policy) before or after the wedding, in
order to be covered.
Attire: This coverage pays to repair or replace the bridal
gown or other special
attire when it is in your possession
and is lost, stolen, or damaged (including financial failure
of the bridal store). Special attire usually includes the
clothing and accessories bought or rented that are to be
worn by the bride, the groom, and attendants at the
ceremony. Note: This does not usually include watches,
jewelry, or semi-precious gemstones or pearls (even if they
are attached to clothing).
Personal Liability: Personal liability covers bodily injury
or property damage
caused by an accident that occurs
during the course of the wedding (your best man trips and
falls on his way up to the mike to roast you or Uncle Murray
suffers a Harvey Wallbanger wall banger).
Medical Coverage: This covers reasonable medical expenses
(up to the policy
medical cover limits) for each person
who is injured during the covered events from a cause of
loss, which would be covered by your personal liability.
Honeymoon: Your honeymoon can cost as much as a new car. But
before
buying travel insurance to protect
your investment, see if your credit card and/or homeowner's
policy covers you if your luggage gets lifted, your trip is
delayed, or you have to cancel. If not, you can a buy
separate, trip-only policy. Call your insurer, or ask your
travel agent for details. Also, certain wedding insurance
packages include optional travel insurance for your
honeymoon.
WHAT DOESN'T IT COVER?
Wedding insurance does
not cover a change of heart. In other words, cold feet don't
count.
HOW MUCH DOES IT COST?
A basic insurance
policy that covers loss of photos, videos, attire, presents,
rings, and deposits usually costs anywhere between $185 and
$400, depending on the amount of coverage you want.
General
Liability & Property Damage Insurance, which covers up to $1,000,000 for
accidents, costs around $195. For a completely worry-free
wedding, opt for both to consider yourself truly covered.
THINGS TO CONSIDER
Every insurance policy
and every wedding scenario is different. Be sure to talk to
your insurance agent -- and have him or her explain the nuts
and bolts to you. You want to make sure you and your sweetie
understand every detail of your policy. Wedding Insurance is
currently only available to couples with United States
residency with a U.S. address. Unfortunately at this tie it
is not available to residents of the state of Kentucky.

Wedding
Cancellation / Postponement Insurance
After
selecting your vendors and submitting your (often
non-refundable) deposits, you should consider an Event
Cancellation Policy to protect your investment. This
Policy can protect you against certain types of
financial losses you may incur in the event of
unpredictable situations during the period leading up to
and including your wedding day.

Event Cancellation Policy has a nominal $25.00
deductible for each covered section.
You should purchase wedding insurance as soon as
you start putting down deposits on your wedding
dress, reserving your reception venue, etc.
because you become financially responsible at
this point. The Event Cancellation Policy can be
purchased up to 15 days prior to the wedding
day, but cannot be purchased earlier than 24
months prior to the wedding day. Coverage
commences on the date of purchase and extends to
the completion of the wedding reception.

Wedding Insurance
- Policy Coverage Details
We will indemnify you, in excess of the
deductible, for:
All deposits forfeited and other charges
paid or contracted to be paid by you or the honoree for transport,
catering services, property and equipment rentals, hall and location
rentals, accommodations (including travel arrangements and
accommodations for a honeymoon, if applicable), special attire,
special jewelry, flowers, event photographs and videos, and
entertainment expenses, because of a necessary cancellation or
postponement of the event, including a cancellation or postponement
resulting from withdrawal of leave.
We will not indemnify you for any special
attire or special jewelry that you, the honoree or any attendants
retain following a cancellation or postponement of the event. With
respect to the indemnity provided under Coverage A as set forth
above, loss or damages must be proven separately for each portion of
the event.
Exclusions
We will NOT indemnify you for any loss
caused directly or indirectly by any of the following:
- Any circumstances known to
your or the honoree at the date of issue shown in the
declarations page as likely to give rise to cancellation or
postponement of the event.
- The non-appearance or
unavailability, except as otherwise provided in item 7 below, of
any person; provided, however, that the foregoing shall not
apply to the involuntary non-appearance of you, the honoree, or
your or honoree’s immediate family, or an active participant in
the event. Non-appearance resulting from military deployment is
not considered an involuntary non-appearance.
- Lack of funds (other than by
reason of unemployment of you or the honoree after the date of
issue shown in the declarations page and qualifying for payment
under the applicable unemployment statutes).
- The failure to provide timely
notice to the contracted provider of any goods or services in
order to diminish or avoid a loss after it was necessary to
cancel or postpone the event.
- Prohibition of the event by
local ordinance, regulation or statute in existence as of the
date of issue shown in the declarations page.
- Cancellation or postponement
following a voluntary decision of you or the honoree not to
proceed with or take part in the event, including, without
limitation, such voluntary decision resulting from a change of
heart.
- Weather conditions, unless
such weather conditions are so extreme as to prevent you, the
honoree, your or honoree’s immediate family, an active
participant in the event or more than half of the guests from
reaching the event, or which renders the event venue unusable or
unsafe.
- Any loss otherwise covered by
the policy, if, in respect of or consequent to the death,
injury, illness, disablement, confinement or compulsory
quarantine of:
- Any person
occurring or arising as a consequence of self-inflicted
injuries, mental illness, or influence of alcohol or drugs
(other than drugs taken in accordance with the treatment
prescribed and directed by a qualified medical physician
except drugs taken for the treatment of drug addiction);
- Any person due
to any pre-existing medical condition known to you or the
honoree at the date of issue of the policy;
- Any person
caused or contributed to by pregnancy commencing before the
date of issue of the policy, unless the expected date of
delivery is more than two (2) months after the event date;
- Any person
resulting from a violation of law; or
- You or the
honoree if you or they have contracted for, arranged, or
commenced the event against the advice of any medical
practitioner.
The maximum amount we will indemnify
you for under Coverage A is the amount stated in the declarations
page for “Cancellation or Postponement of Event”, regardless of the
number of claims made under the policy.


We will indemnify you, in excess of the
deductible, for extra expenses not originally contemplated or
anticipated that are incurred by you or the honoree to avoid an
otherwise necessary cancellation or postponement of the event, but only
to the extent it reduces the amount of loss that otherwise would have
been payable under Coverage A.
The maximum amount we will indemnify you for
under Coverage B is the amount stated in the declarations page for
“Extra Expense”, regardless of the number of claims made under the
policy.


We will indemnify you, in excess of the
deductible, for:
1) All reasonable expenses necessarily incurred
to retake event photographs as a direct and necessary consequence of:
- Non-appearance of the
professional photographer contracted for the event;
- Loss or direct physical
damage to the original film or the negatives (whether film or
digital) before copies are received by you; either before or after
proof photographs; or
- Non-development of the
original film or negatives (other than under or overexposure).
2) All reasonable expenses necessarily incurred
to reshoot the event video as a direct and necessary consequence of:
- Non-appearance of the
professional video operator contracted for the event; or
- Loss or direct physical
damage to the original tape by before you receive finished copies.
Exclusions
We will NOT indemnify you for any loss caused
directly or indirectly by any of the following:
- Damage to event photographs or
video arising from wear and tear, moth, vermin, atmospheric or
climactic conditions, deterioration, depreciation, confiscation or
detention; or
- Failure of the event photographs
or video to meet your expectations of style or quality, including
the absence or clarity of sound, or content.
The maximum amount we will indemnify you for
under Coverage C is the amount stated in the declarations page for
“Event Photographs and Video”, regardless of the number of claims made
under the policy.


We will indemnify you, in excess of the
deductible, for direct physical loss or damage to event gifts that
results during the time period seven (7) days before and seven (7) days
after the event, while at your or the honoree’s home, at the event, or
in transit between any of these locations, or while entrusted to a third
party, from a cause of loss not excluded.
We will pay at our option the full cost to
repair or replace the lost or damaged event gifts, without deduction for
depreciation.
Exclusions
We will NOT indemnify you for any loss caused
directly or indirectly by any of the following:
- Theft or attempted theft of event
gifts that is not reported to the police as soon as practicable
after discovery of the loss;
- Damage arising from wear and
tear, moth, vermin, deterioration, confiscation or detention;
- Damage arising from atmospheric
or climactic conditions (other than during the event);
- Damage by theft or attempted
theft of any event gifts left in any unattended vehicle unless the
vehicle is fully locked and secured and where forcible and visible
entry into the vehicle is made;
- Theft or disappearance of cash in
amounts greater than $300.00; or
- Mysterious disappearance.
The maximum amount we will indemnify you for
under Coverage D is the amount stated in the declarations page for
“Event Gifts”, regardless of the number of claims made under the policy.


We will indemnify you, in excess of
the deductible, for:
1) Loss or damage to special attire
occurring prior to the event. We will pay at our option:
- The cost of
replacement for lost or stolen special attire of equal value;
- The cost to repair
damaged special attire not to exceed the original cost of the
special attire; or
- The cost of any
necessary special attire rental charges if replacement or repair
is not possible in time for the event.
2) Loss or damage to special attire
occurring during the event. We will pay at our option:
- The cost to repair
the special attire; or
- The reasonable
market value of lost or damaged special attire (taking into
account the variance in value between new and used attire),
subject to a maximum payment of fifty percent (50%) of the
original purchase price.
Exclusions
We will NOT indemnify you for any loss
caused directly or indirectly by any of the following:
- Theft or attempted theft of
special attire that is not reported to the as soon as reasonably
practicable after the discovery of the loss;
- Damage arising from
alterations, wear and tear, moth or vermin;
- Damage arising from
atmospheric or climactic conditions (other than during the
event); or
- For special attire not
purchased as new, loss or damage caused by any process or
cleaning, restoration or repair.
The maximum amount we will indemnify you
for under Coverage E is the amount stated in the declarations page
for “Special Attire”, regardless of the number of claims made under
the policy.


We will indemnify you, in excess of the
deductible, for loss or damage to special jewelry occurring during the
event or the seven (7) day period immediately preceding the event. We
will pay at our option the full cost to repair or replace the lost or
damaged special jewelry, without deduction for depreciation.
If we pay to replace a pair or set in the event
a part of the pair or set is lost or damaged; we will be entitled to the
remaining parts of the original pair or set.
Exclusions
We will NOT indemnify you for any loss caused
directly or indirectly by any of the following:
- Theft or attempted theft not
reported to the police as soon as practicable after discovery of the
loss;
- Damage arising from wear and
tear, deterioration, confiscation, detention or any process of
cleaning, restoration, alteration or repair;
- Damage arising from atmospheric
or climactic conditions (other than during the event);
- Damage by theft or attempted
theft of any jewelry left in any unattended vehicle unless the
vehicle is fully locked and secured and where forcible and visible
entry into the vehicle is made; or
- Mysterious disappearance.
The maximum amount we will indemnify you for
under Coverage F is the amount stated in the declarations page for
“Special Jewelry”, regardless of the number of claims made under the
policy.


We will indemnify you, in excess of the
deductible, for:
- Any deposits paid by you or
the honoree for the event related to transport, catering
services, accommodations (including travel arrangements and
accommodations for a honeymoon, if applicable), special attire,
special jewelry, flowers, event photographs and videos, and
entertainment expenses, which are non-refunded as a direct
result of a cessation of business operations prior to the event
by the providing vendor; and
- Any deposits paid by you or
the honoree for travel arrangements and accommodations on cruise
ships which are non-refunded as a direct result of a cessation
of business operations prior to the event by the providing
vendor, provided that the event was to be held on the cruise
ship designated in the declarations page.
Exclusions
We will NOT indemnify you for any of the
following:
- Any sum for which an amount
has been paid under Coverage A of this policy;
- Any lost deposits relating to
event photographs or videos, if payment is made for the cost of
retaking the photographs under Coverage C of this policy;
- Any lost deposits relating to
event gifts, if payment is made under Coverage D of this policy;
- Any lost deposits relating to
special attire, if payment is made under Coverage E of this
policy; or
- Any lost deposits relating to
special jewelry, if payment is made under Coverage F of this
policy
The maximum amount we will indemnify you
for under Coverage G is the amount stated in the declarations page
for “Loss of Deposits”, regardless of the number of claims made
under the policy.


If you or the honoree suffers emotional
stress following cancellation or postponement of the event, as covered
under this policy, we will indemnify you, in excess of the deductible,
for professional counseling, as recommended by a medical physician, up
to one (1) year following the date of the event.
The maximum amount we will indemnify you for
under Coverage H is the amount stated in the declarations page for
“Professional Counseling”, regardless of the number of claims made under
the policy.

The Special Event Liability
Insurance Policy is a specialty
insurance policy designed to protect
the wedding couple from liability
related to certain types of
accidents that might occur during
the wedding or reception and result
in bodily injury or property damage.
Many reception locations now
require couples to carry this type
of protection. This policy includes
the option to name your Ceremony and
your Reception venue as additional
insureds, beyond the Bride and
Groom, at no extra cost.

The Special Event Liability
Insurance Policy has no
deductible for general
liability coverage, but
there is a $1,000.00
deductible applicable to
third-party property damage
claims.

When
Should you get it?
The Special Event Liability
Insurance Policy can be
purchased as early as 12 months
prior to your wedding day, but
not later than 24 hours before
the date of your big day.*
However, it is advised that you
order coverage at least 10 days
prior to your event in order to
provide sufficient time to look
over your coverage documents and
deliver insurance certificates
to any additional insured
parties you have listed.
It is recommended that you
carefully review the rental
contract for your venue
location(s) to determine if you
are required to furnish a
certificate of insurance naming
your site as an additional
insured.
*NOTE: The ordering system will
not accept an order for the
Special Event Liability
Insurance Policy that is placed
later than 15 days prior
to the event, if it is combined
with the purchase of the Event
Cancellation Policy (which
requires a 15-day advance
purchase). In such case, you
will need to deselect the Event
Cancellation Policy level option
(and choose "None"), to allow
the system to process your order
for only the Special Event
Liability Insurance Policy.


What
Does it cover?
Alcohol-related accidents,
property damage, and personal
injuries are the top concerns
come wedding day. Your Special
Event Liability Insurance Policy
is designed to protect you
against liability arising from
these situations, subject to
policy conditions and
exclusions. There is usually a
specified maximum amount, which
can be claimed under each
section, and a deductible amount
also applies. Be sure to
carefully read the policy.
- Alcohol-related
accidents, A car
accident caused by an
intoxicated wedding guest
leaving the wedding site may
result in liability for the
Bride and Groom. The Special
Event Liability Insurance
Policy responds to your
social host liability.
- Vendor, Although
most reputable vendors
(e.g., florists,
photographers, caterers)
carry their own liability
insurance coverage, you are
generally not protected by
such coverage if your vendor
causes damage to the
reception site. The WedSafe
Liability & Property Damage
Policy will provide
protection up to the
specified limits of the
policy if you are held
liable for damage to the
reception site caused by one
of your vendors.
- Bodily Injury,
Your best man trips and
falls on his way up to toast
you and breaks his leg.
Liability insurance covers
bodily injury caused by an
accident that occurs during
the course of the wedding.
- Additional Coverage,
The WedSafe Liability &
Property Damage provides
coverage in the amount up to
$250,000 for third party
property damage at the
wedding or reception site
for which the Bride and
Groom may become
contractually liable.
Additional Insureds:
The policy also allows you to
name your ceremony and/or
reception venue(s) as additional
insured(s) without additional
charge. At your request, a
separate certificate of
insurance evidencing the
additional insureds can be
issued for forwarding to the
appropriate recipient.
Note: Make sure that the
aggregate and pre-occurrence
limits required by your venue
fall within those provided by
Special Event Liability
Insurance Policy.


What
Doesn't it cover?
A Special Event Liability
Insurance Policy, does not cover
the same items and risks covered
by a
Event Cancellation Insurance
Policy, clients are strongly
encouraged to purchase both
types of protection and, indeed,
many of our clients choose to do
so. Intended acts, breach of
contract and coverage for
vendors are not covered. Please
read the policy carefully
for other conditions and
exclusions.


Do
I really need to buy additional
Liability Coverage for my Event?
If you are serving liquor to
your guests most venues require
insurance for the event. Your
Homeowners Insurance may or
may not cover your event's
liability, depending on numerous
factors. But consider this, if
you have a claim your homeowners
will go up for a long time.
If you are renting premises
that will be used to sell,
serve or furnish alcoholic
beverages to guests you need
to ask yourself:

What are my
exposures to legal
liability from the
alcoholic beverages
served?
-
How can I transfer
this risk to an
insurance company?
-
Do you need to
purchase a special
event/host liquor
liability policy?
You are undoubtedly
confused about the need to
purchase a separate
insurance policy just
because you plan to serve
alcoholic beverages at your
event. We believe you need
to know the facts so you can
make an informed decision.
A lot of states have an
established statute that
imposes liability on the
seller or giver of alcoholic
beverages.
Depending on what state
you live in, unfortunately,
you, at a minimum, have an
exposure for defense costs
to defend yourself from
claims or suits that arise
out of your activities as a
host.
Now that you know your
potential exposures to loss,
how do you protect yourself?
Your question may very well
be - "Don't I already have
insurance protection for
this activity?" The answer
is maybe!
HOMEOWNERS INSURANCE
Discussions concerning
the insurance protection
afforded by homeowners
insurance policies for the
serving or furnishing of
alcoholic beverages center
on the single fact that
there is no liquor liability
exclusion. While in most
cases this is true, there
are other issues worthy of
consideration.
• First, the limits of
insurance for the liability
insurance protection may be
insufficient to meet the
requirements of the facility
where the event involving
alcoholic beverages is being
held. For example, the
facility may require a
$1,000,000 limit of
insurance, but your policy
only provides $100,000
liability coverage.
• Second, the facility
often (or at least should)
wants to be named as an
additional insured on your
homeowners policy. While
individual insurers may
develop insurer specific
endorsements, there is no
standard industry
endorsement to name a person
or organization as an
additional insured for any
activities exposures. And
will the insurer specific
endorsement apply to the
liability and/or defense of
the facility as respects the
facility's own direct
liability or will the
insurance protection be
limited to the vicarious
liability exposure of the
facility for your acts. The
insurance protection needed
or wanted by the facility
may not be provided by your
homeowners policy!
Finally, the homeowners
policy is not written
specifically to address the
exposures created. The terms
and conditions of the
homeowners policy may not
respond to the injuries
sustained.
